3700 Processing Special Requests

3710 Processing Case-Related Special Requests (CRSR)

Case-Related Special Requests (CRSRs) are used by CPS and APS In-Home only.

See 2322 Case-Related Special Requests.

To complete a CRSR, the intake specialist:

  •  completes the Call Information page, including the reporter details and In Re;

  •  navigates to the Call Type section and makes the appropriate selection from the Program Type and Special Request Type fields;

  •  completes a person search and relates if a match is found. The persons are entered and assigned the Type of PRN, and the Role of NO and the appropriate relationship or interest code (REL/INT) is selected:

  •  For CPS, child of interest is assigned the REL/INT code of Self

  •  For APS, the Role is Client and the REL/INT code is Self

  •  navigates to the Intake Actions page, and in the Call Decision section selects the appropriate case name; and

  •  completes the narrative.

Any other required fields on the Intake Actions page are prefilled, so it is not necessary to change or complete any other fields.

The CRSR is assigned according to established procedures.

3711 Processing a CRSR that is Assessed Due to a Lack of Locating Information

Before completing a CRSR due to a lack of locating information, the intake specialist follows the steps outlined in 2322.1 Assessing a CRSR When There is Not Enough Locating Information for a CPS, RCCL, or DCL Intake.

To complete this CRSR, the intake specialist:

  •  completes the Call Information page, including the reporter details and In Re;

  •  chooses CPS from the Program Type drop-down list and Req for Loc Pub Serv from the Special Request Type drop-down list;

  •  completes a person search and relates if a match is found. The persons are entered and assigned the Type of PRN and the Role of NO and the appropriate relationship or interest code (REL/INT) is selected. The child of interest is assigned the REL/INT code of Self;

  •  navigates to the Intake Actions page and in the Call Decision section selects the appropriate case name. A county must be documented for the person chosen as the case name. Since the county is unknown, the intake specialist documents Travis County and Other for the Address Type;

  •  follows the Best Practice Narrative for a CPS, DCL, or RCCL intake depending on the assessment of the information provided (see Intake Best Practice Narratives); and

  •  assigns the CRSR according to the Manual Assignment Charts located on SWI's Intake Procedures intranet page (in the Processing section, under Assignment Chart). Support staff requests assistance from an intake supervisor who saves and closes the CRSR with the reason being Services Completed.

3720 Processing Administrative Special Requests

To complete an administrative special request the intake specialist:

  •  completes only the Entry section on the Call Information page (no In Re is needed);

  •  navigates to the Call Type section and makes the appropriate selection from the Program Type and Special Request Type field; and

  •  enters either CPS or APS in the Program Type field; and

  •  documents the request in the Narrative.

There is no person list for an Administrative Special Request. The required fields on the Intake Action page prefill, so it is not necessary to change or complete any other fields.
